Hi Team, is it possible to add external email recipients, that do not belong to a workspace?
k
Thinking completed Yes, it is possible to add external email recipients who do not belong to the workspace [Automation in Dashboards]. To allow this, an administrator must enable external recipients when configuring an email destination: 1. Go to Settings and navigate down to Alerts & Scheduled exports [Email]. 2. Under Destinations, select Manage > Emails to create a new destination or edit an existing one [Email]. 3. In the destination setup dialog, go to the Configuration tab [Email]. 4. Under Allowed recipients, select Internal and external recipients (or External recipients) [Automation in Dashboards]. 5. Click Create or save your changes [Email]. Once configured, users setting up alerts or scheduled exports through that destination can enter any external email address, even if that user does not exist in the workspace or organization [Automation in Dashboards; Theming Changes]. Note: External recipients are available only for email destinations and are disabled for Trial accounts for security reasons [Automation in Dashboards]. You can also choose whether or not to include dashboard links when sending to external recipients [Theming Changes]. 👍 0 button 👎 0 button â„šī¸ Tip: Mention @kapa.ai in the thread for follow-ups. 👀 Our Support team monitors all messages and will jump in if needed.

How does it work for the scheduled exports?
@kapa.ai is adding external emails to list of recipients possoble?
k
Thinking completed Yes, adding external emails to the list of recipients is possible for dashboard alerts and scheduled exports [Automation in Dashboards]. For this to work, an administrator must set up or edit an email destination with permission to send externally: 1. In the destination settings under the Configuration tab, locate the Allowed recipients section [Theming Changes]. 2. Select Internal and external recipients (or External recipients) [Automation in Dashboards; Theming Changes]. 3. Optionally, configure whether to include or hide the dashboard link for external recipients [Theming Changes]. Once enabled on the destination, users creating alerts or scheduled exports can add any external email address, even if the person is not a member of your workspace or organization [Automation in Dashboards; Theming Changes]. Note: This option is only supported for email destinations and is disabled on Trial accounts for security reasons [Automation in Dashboards]. 👍 0 button 👎 0 button â„šī¸ Tip: Mention @kapa.ai in the thread for follow-ups. 👀 Our Support team monitors all messages and will jump in if needed.

Hi Sanja, As our AI assistant has explained above, it is possible to send scheduled exports (and alerts) to email addresses that don't belong to the workspace. Something worth noting is that, The data in the export is generated in the context of the user who created the schedule, so external recipients see whatever that user(creator) can see. That includes any data filters applied to the creator.

@Yvonne Changamuka everything is set up to allow external recipients, but still when creating email with export, I can not add external. What else can be done? F0C4JRNDJ58

Hi Sanja, I have tested this and it works after enabling the setting in the email configurations. I have to check your setup further. Can you share with me a direct link to the workspace? Feel free to share via dm.

Hello Sanja, Thanks for sharing a direct link to the workspace. I accessed the workspace , tested by creating a test automation and tried to add an external recipient, which worked. Could you try again and let me know if it works? Please ensure to select the user after the warning pops up in the process .

Still doesn't work, I'm adding an email from our company that is not a registered user in gooddata.

Hi Sanja, Could you please share by DM: the exact schedule link and the email you are trying to add? Have you tested it using another schedule or in another workspace/dashboard? Once I have the requested information I will check further.
s
Yeah, I created a new schedule and tried. I will send details in DM

Hi Sanja, Thanks for shared details, they helped a lot. First, I would like to inform, we accessed your organization to check the schedule, the email destination and your permissions. Everything is set up correctly: the destination allows external recipients and your account has the right access. When we added an external recipient to the same schedule, it worked. The problem seems to be how the email address gets into the field. When it's pasted, it includes a space at the start (and sometimes a
;
at the end), so the field receives something like
" <mailto:example@email.com|example@email.com>"
or
" <mailto:example@email.com|example@email.com>;"
. The recipient field doesn't treat that as a valid email, so it shows "No matching users or groups" and doesn't offer the external recipient option. Could you try this? 1. Open the schedule and click into Recipients. 2. Type the email address, or paste it and then delete any space before it or
;
after it. 3. Select the external recipient option that appears (with the warning about external recipients). 4. Click Save. Let us know if it still doesn't work and we'll take another look.
